Sponsorship funds may be paid to St. John's College or LANL. All funds, regardless of payee, should be sent to Adam Shipman at CNLS.
Funds made payable to St. John's College should be mailed as a check. These funds will not be restricted by LANL policy, and will not be considered government funds.
Funds made payable to LANL may be considered governmet funds when received and may have their use restricted. To conform with LANL regulations, all sponsors will need to send an email/letter of agreement to CNLS prior to the funds being sent. This letter should be sent to Adam Shipman at conferences@cnls.lanl.gov. If the funds will be sent to LANL, the letter must designate exactly how much you will be sending and what exactly you agree the money should be spend on.
An example of a sponsorship letter for funds sent to LANL:
(Your Company) agrees to sponsor the 2010 q-bio Conference for a total amount of $XX. We ask that 100% of these funds be spent on purchasing (ask us what we need help with) for the benefit of all conference attendees during the conference. If there are excess funds after covering these expenses, it is expected that the excess funds will be considered a seperate sponsorship to be used for other expenses not allowable under LANL regulations. We do not expect unused funds to be returned to us.
